Instructions for Using the Internet Message System

Log in:For Radiologists: Log in is automatic when you log into Internet Create Fax. Otherwise click on the “Internet Message System” on the third line of the hvra.net home page. When the box appears, enter you login, and then click ‘Internal Message System’. A new window will open up for the message system. You can click the ‘-‘ sign in the upper right hand corner of the window to run it minimized while doing other work.
Sending Messages:Click on the user you want to send the message to. The users currently logged on are listed in the Users Logged On box and their name will be placed in the destination box. All the users of the IM are listed in the All Users box. You will likely get a faster response from a user that is currently logged in.
Click on the name in the destination box to remove it.
Type a message in Message box and click Send Message.
GroupsThere are several groups of users at the end of the ALL USERS list. Once click will populate several users in the destinations box.
All Radiologists Logged On = All radiologists that are currently logged on to the IM system.
All Radiologists = All radiologists whether currently logged on or not.
US QA Grp = Personel responsible for US QA issues.
US Recall Grp = The personel responsible for ultrasound recalls.
Management Team = The radiologists on the radiologists management team.
Neuroradiologists = All the neuroradiologists in the group.
Physician Assistant = Sent to physician's assistants that are current online. If done, sent to the Night PAGrp emails.
Favoritie DestinationsYou can set up two groups of your own favorite destinations.
Select the destinations and then click the Fav1 or Fav2 button.
When green you can select that button to load that list of destinations.
Hold the shift key down when clicking on the button to delete the favorite. You can then create a new group.
Canned PhrasesYou can store multiple phrases that you repeatly use to save time typing them in.
To create a phrase, click the drop down box below the FAV1/FAV2 buttons.
Click on the add phrase option. In the popup message type in the message to store and click OK.
To use the phrase, click on the drop down box and click on the phrase you want to use. It will be put in the send message box.
To delete a phrase: first click on the phrase as above. Then click on Add Phrase and type in the IDENTICAL PHRASE
(the easiest way is to copy it from the send message box and paste it into the pop up box).
When you click ok, if the new phrase to add matches EXACTLY the phrase in the send message box, the phrase will be deleted.
Receiving Messages You will hear a “New Message” prompt. You will see the senders name and time the message was sent. The message will be in the message box in the Receiving Message Section. Click Acknowledge to accept the message. If you wish to reply click Acknowledge and Reply. The senders name will be placed into the destinations box and you can type a response in the Creating Message section. Click send message when done.
Viewing last three messages sent to sender of a messageClick on the Last3 button. This is useful if your are receiving a response and you forgot what you said in the first place.
Moving message to end of queue (of several inbound messages)Click on the curved arrow  to move the message to the end of the queue
To reschedule a message to receive at a later date/timeClick on the clock icon  Edit the time when you want the message to reappear and click Reschedule Message
Checking if messages have been deliveredClick “Show Undelievered Messages” to see recipients and date/time that were sent but not yet acknowledged by the recipient.
If you hold the shift key down while pressing this button, the content of the messages will appear as well.
Looking at previous IM's you have receivedUse the double arrow buttons '<<' or '>>' to scroll through your RECEIVED messages (this does NOT included inbound unacknowledged messages). You can only view the last 15 messages using this feature. If you need to see an older IM you must contact Joel M. Schwartz MD
To email message to yourselfClick on the Email message to self (or press F9). The message will be emailed to you. If there is an error you may not be set up for this feature. Send an IM to Joel M. Schwartz MD that you want this feature activated and your email address.
Viewing radiologist scheduleClick on the Show Schedule. The radiologist schedule will be displayed for 15 seconds or until it is clicked anywhere on it. Then the IM window will return.
Log offWhen finished for the day, click Logoff button at the bottom and the window will close.
